Data protection notice for events (O_IS_IT)

Information on the protection of natural persons with regard to the processing of personal data and the free movement of such data, related to the use of images and videos

Pursuant to Article 13 of EU Regulation 2016/679 (General Data Protection Regulation)

Dear customer,

This information describes the protection of natural persons in relation to the processing of personal data as indicated in 2016/979 GDPR.

1. Data controller

For the purposes of the information, the owner of the data treated is Technoform Bautec Italia S.p.A., based in Lainate (MI) in Via Settembrini, 80, enrolled in the Registry of the Companies in Milan no.184951/1998 - REA n. 1562624, F.C. 02264970126 – VAT 12483790155 (Controller).

2. Data processed

The processed data includes images of employees, collaborators, and, in any case, guests of the Data Controller, involved in shootings and photographs, which will be recorded to create videos and multimedia material for use as a historical company archive and as a promotional tool regarding the activities of the Data Controller.

All your personal data and information related to special categories of data, will be defined as (Data).

3. Purpose and legal basis of the information in compliance with UE Regulation 2016/679

The legal basis of your data processing is stated in article 6, paragraph 1, letter f of the GDPR: processing is carried out to pursue a legitimate interest of the controller.

The legal basis of the processing corresponds to your consent given to article 6, paragraph 1, letter a) of the GDPR. Your consent could be given as follows: filling out the end of this present information, as well as, on the occasion of events organized by the Data Controller, through the voluntary decision to proceed to the dedicated areas of the collection of the images during the event organized by the controller.

The data (pictures and audio/video recordings) will be processed for promotional, historical company archive, corporate promotional events, trade fairs and exhibitions, sales campaigns of Technoform Bautec Italia SpA, and also for both for paper and social communications on the website www.technoform.com, on the company's social channels to which the owner decides to subscribe (for example: LinkedIn, Facebook, Instagram, YouTube) and all the communication channels of Technoform Group.

Data transmission for the abovementioned objectives is voluntary. The missing data will imply the exclusion from photograph and video recordings.

4. Data processing modalities

Data will be processed by employees and/or cooperators of the Controller, exclusively selected as authorized persons to process data ex article 29 GDPR (such as for example: people in charge of human resources, legal office, administrative department, compliance and risk management and IT services) or external entitled persons to data processing as indicated in article 28 of GDPR, whose names and address will be available at request to the Controller.

The Controller and third parties cooperating with the Controller itself can process the data manually or by using electronic or automated means, following specific rules related to the final purposes always in a way that ensures the security and the confidentiality of the data. With regards to this, the Controller states to have conducted a careful analysis of the security risks and to have taken all reasonable measures within the meaning of Article 32 of EU GDPR, as well as to have carried out “a proper impact survey related to the protection of personal data” in compliance with article 35 of EU GDPR.

Posing and the use of the images taken will be considered as free service. Technoform Bautec Italia SpA is committed not to use these images for any possible use that may result as detrimental to the dignity, reputation and decorum of the affected party.

5. Data communication (the recipients)

Data can be communicated to third parties, even abroad, only if necessary for the for the abovementioned objectives indicated in this information.

Third party-addresses of the data, who can be autonomous controllers of the data or properly appointed as processor belong to the following categories:

Subjects who perform, for and/or on behalf of the Controller, tasks of a technical and organizational or professional assistance/consultancy;
Professionals or professional bodies;
Sister companies of Technoform group.

The complete list of the data processors will be kept in the headquarters of the owner and can be consulted on request that need to be directed to the following addresses indicated in the next article no. 7.

6. Period of retention of data

Data are processed only for the time strictly necessary to fulfil the purposes for which it was collected and, and for an historical record of the events. The verification of the validity of the data processed to fulfil the purposes for which it was collected will take place periodically, and the period of retention will not exceed 10 years.

7. The rights of the interested party referred to in Chapter III of EU Regulation UE 2016/679

The individuals whom personal data refer to have the right all time to: (I) receive the confirmation of the existence or otherwise of personal data concerning; (II) to know the purpose and means of processing data, the recipients of data and the retention period; (III) obtain the rectification or the cancellation, when applicable, the limitation on handling (IV) to object the processing; (V) whenever applicable, receive a structured format of common use and clearly legible by automatic device, the data involving them provided to the Controller and transmitting such data to another data controller with no impediments from the Controller; (VI) to lodge a complaint to the personal data protection authority.

The party can contact Technoform Bautec Italia SpA to assert the abovementioned sending an e-mail to: privacy [dot] oisit [at] technoform [dot] com (privacy[dot]oisit[at]technoform[dot]com).

The party could always report to the Privacy Guarantor in Italy for the legal protection of their rights referred to article 77 of GDPR.

8. Privacy contact persons and subjects who may gain knowledge of the personal data

Privacy contact persons are Adalberto Banfi e Raffaella Galli, domiciled in this function at the registered office of the company. Regardless, the updated list of processors is at their complete disposal at company’s registered office, data controller.

Consistently with the overall purpose and scopes listed, personal data might be disclosed to the personnel of the company entitled to the administrative and IT management and the people entrusted with the processing of their personal data for one of the purposes set out in this information.
